SUBSCRIPTIONS:  ADVANCED SEARCH & EXPORT FEATURE

 

The Colorado Alliance of Research Libraries is pleased to announce
"Advanced Search and Export", a new enhancement to the Subscriptions
module. This new enhancement allows you to build powerful search queries
and then select which fields in the subscription record to include in a
report which can be viewed on screen and downloaded into a csv (Excel)
file for further analysis. With this new search feature you can view all
subscription records with a wild card search (*) or select certain
criteria from which to limit the search.  The advanced search uses
typical search conditions such as equal to, not equal to, less than,
greater than, contains, does not contain.     

 

Advanced Search and Export is located under the Subscriptions module
under the first section, institution subscriptions-fourth bullet down.
In addition, we have included a "view only" option which allows one to
run a query and download a report,  but not modify any of the
subscription record details.  Note: we have labeled this a beta version.
We would like your feedback and suggestions to include in any changes we
might make to this feature.  So please give it a try and let us know
what you think.

 

**To activate this new feature, go to Settings>Add Edit Users>check box
for advanced search and export under "Subscriptions-Site". 

 

 

Typical information that can be gathered with this new feature may
include, but is not limited to:

 

*         How much money spent each year on a particular vendor

*         All License agreements for a particular year

*         Vendors that don't allow you to ILL resources

*         All contracts that expire at the end of the fiscal year

In order to take full advantage of this new feature, libraries will need
to enter data into the Subscription module.  It's not necessary to fill
out all fields only those for which you want to capture information.
The advanced search can query all existing fields in the subscription
record as well as custom created ones.
